Preparing for VoIP

Transitioning to VoIP must not be taken lightly. The more knowledgeable you are, the better. There are several things to take into account before moving over to VoIP.

 

Planning for expansion is something to have in mind as you research your VoIP options. Is your area the right candidate for VoIP? Is your Internet provider a right fit for it? How easy is it to add new extensions to your network? Will your VoIP provider be able to support multiple locations?

Your new IP Phones should have a similar feel and layout to your old phones making it easier for employees to get used to them. They should also have at a minimum the same features as your old regular phones, such as mute, volume control, caller ID, redial, and soft buttons. Headsets, wired and wireless, should be readily paired with your IP Phones. Some newer IP Phones even support Bluetooth which could reduce the cost in buying new headsets, as any Bluetooth supported headphone can be easily paired with the phones. Everything should be designed to make it easier for the employee to switch over to your new VoIP system.

Not all VoIP providers are created equal. You should find out beforehand how much downtime your company will experience while switching over from your existing system to your VoIP system. Sometimes it will be preferable, depending on how big your network is, to switch over in multiple phases. Most of the time it’s best to switch over in one go. In situations like this, it’s best to do it after business hours, or even on the weekend. In cases where your phones are constantly in use, 24/7, your provider should come up with the best plan of action to keep your downtime to a minimum.

Unlike the old POTS system, VoIP is constantly growing and evolving with new features being added all the time. So it pays to keep an eye out for them as not to miss any cool features which might benefit you and your company.
